Rent the GFPD Meeting Room

Meeting Room Rental Terms

The Grand Fire Protection District No. 1 (GFPD) Meeting Room is available for use by responsible non-profits, community and civic groups, neighborhood organizations, clubs and government agencies who agree to the following rules and regulations governing the use of the Meeting Room and related facilities.

  1. The Meeting Room will not be used for any business or commercial purposes by any individual or group, and no individual or group may charge any fees or collect any money in association with an event in the Meeting Room at Grand Fire.
  2. The Meeting Room is not a banquet facility. The serving of meals, lunches or dinners is not allowed. Light refreshments including coffee, water, beverages, pastries and etc. are allowed with GFPD approval and must be consumed in the Diner. Covered beverages will be allowing in the Meeting Room.
  3. The GFPD application for the use of the Meeting Room must be completed and returned to the GFPD Headquarters Fire Station Business Office in Granby no later than seven (7) days prior to the date of requested use.
  4. GFPD reserves the right to cancel a reservation at any time by notifying the reservation holder. Planned trainings/meetings of GFPD will always have preference. GFPD reserves the right to deny anyone or any group the use of the Meeting Room.
  5. The Meeting Room will be available between the hours of 8:00 AM and 9:00 PM Monday through Friday. All meetings must end by 9:00 PM and the building vacated by 9:30 PM. The Meeting Room is NOT available on holidays or weekends or prior to 8:00 AM in the morning.
  6. Occupancy is limited to 45 people.
  7. A facility usage fee (cash or check payable to Grand Fire) will be assessed for each usage according to the Fee Schedule and shall be payable when the request form and usage agreement are executed. The facility usage fee is not meant to discourage the use of the facility, but is being assessed for maintenance, supplies, replacement of equipment and general upkeep of the facility.
  8. A $100 cleaning/damage fee will be collected from any groups using the Meeting Room that fail to clean up after their meeting. The premises must be left in as good of condition as found. The applicant or organization will be responsible for cleaning up after themselves immediately after the meeting including, but not limited to vacuuming and cleaning all floors, wiping down tables or chairs, emptying the trash and cleaning/restocking the restrooms and diner. (See Facility Cleaning List) All furniture must be returned to its original location.
  9. Any group using the room will be expected to avoid any unnecessary noise and will confine their activities to the Meeting Room. The Firehouse Diner is NOT included in the use of the Meeting Room.
  10. 10. Groups will be limited to not more than six (6) meetings per year. If a group applies for and is approved more than six (6) meeting room uses in a calendar year, the facility usage fee will be a higher rate as is indicated in the Fee Schedule.
  11. 11. No dances or concerts may be held in the room.
  12. The buildings and grounds of the Fire Department are tobacco free. Smoking or use of any tobacco products is prohibited inside the buildings and in the parking lots. If guests must smoke, they may walk to River Park and dispose of their materials appropriately.
  13. Alcohol, marijuana or any controlled substance, shall not be allowed at any time in the Meeting Room, adjoining facilities or parking lots.
  14. Prior approval must be obtained for the use of any decorations, props or equipment and they must be removed from the premises immediately after use. No nails, screws, staples, tape or mounting devices will be permitted on the walls, woodwork, ceiling or floors.
  15. No tables or chairs shall be removed from the room for any outside use.
  16. Any organization or person sponsoring use of the facility will be held responsible for any and all damages to the rooms, furnishings and equipment.
  17. Any evidence of abuse of the facility, vandalism or misconduct, is sufficient cause to deny further use of the room to any group.
  18. Any youth group using the room must have adult sponsors (25 years or older) present at all times. One adult is required for every 12 youth.
  19. Audio and video equipment will only be operated by GFPD approved personnel.
  20. Parking is only allowed in designated areas on the Northeast side of the building (facing Highway 40).
  21. Rules and regulations may be modified or changed at any time without notice. Such changes will be effective for uses scheduled subsequent to the date of changes.
  22. Applicant agrees to sign a Release and Indemnification Agreement and provide a certificate of Insurance. (if necessary)
  23. Before leaving please complete all items on the Facility Cleaning List.

Facility Fee Schedule

The purpose of initiating this fee schedule is defray some of the costs involved in operating the Meeting Room at GFD. These costs may include, but are not limited to: replacing broken chairs or damaged tables; cleaning or replacing carpeting; replenishing paper goods in the restrooms and Diner; use of the coffee maker, LCD projector, wireless internet server, and wireless microphone; and personnel costs to arrange, clean and otherwise maintain the room.

Basic Room

Includes wireless internet access, projector, screen, audio, DVD or VHS player, microphone, computer hook-ups, laser pointer tables, chairs, use of Diner for coffee (guests must provide their own), other drinks, and light snacks only – NO COOKING ON SITE

  • $50/up to 4 hours
  • $75/up to 8 hours
  • $100/over 8 hours

Carpet Cleaning $200

If there are stains or spills during meeting

Cleaning Fee $100

If GFPD personnel are required to clean the room after meeting (this includes the Diner, restocking all paper goods in restrooms and kitchen, moving tables, etc.
